This policy explains what information the practice collects, why, and what happens to it. It covers this website, the referral portal, the course, and the text and email alerts the practice sends.
This policy applies to the veterinary practice of Dr. Debra A. Canapp, DVM, DACVSMR (“the practice”, “we”), operating at drdebracanapp.com and portal.drdebracanapp.com.

If you send us a message through a contact link, we receive whatever you write and the email address you send it from. Forms on the site are protected by Cloudflare Turnstile, which checks that a submission comes from a person rather than an automated script.
When a practice applies for portal access we collect the practice name and address, the veterinarian's name, professional credentials, email address and telephone number. Once an account exists we hold the case material submitted through it: patient records, diagnostic images, clinical histories, the questions asked and the reports issued in reply, together with invoices, statements and payment records.
Name, email address, professional details, homework submissions and the images accompanying them, and a record of enrollment, access period and any extensions.
Name, mobile number and email address, and a log of which alerts were sent and whether they were delivered.
Diagnostic images and patient records submitted for remote interpretation are clinical records. They are retained as part of the case file, associated with the submitting practice, and used to produce the report, to answer follow-up questions, and to support the continuity of care of that animal.
They are not sold, shared for marketing, or made available to other practices. Case material may be used in teaching or publication only in de-identified form and only where the submitting practice has agreed.
We do not share mobile numbers with third parties or affiliates for marketing purposes. Mobile numbers collected for alerts are used only to send those alerts, and are passed only to the messaging provider that delivers them.
Message frequency varies and depends on activity. Alerts are event-driven rather than scheduled, and are typically fewer than twenty messages a month.

Alerts are sent to the practice's own staff about operational events, such as a case arriving or a referring veterinarian asking a question. Consent is given directly by each recipient when they provide their number.
We do not sell personal information. We do not send marketing email to referring veterinarians; the emails they receive concern their own cases and accounts.
We use a small number of providers to run the service. Each receives only what it needs to do its part:
This website sets no advertising or tracking cookies. The portal stores a sign-in session in your browser so that you stay signed in, and remembers small display preferences such as your language choice. Clearing your browser storage removes them and signs you out.
Clinical records, reports, invoices and statements are retained as business and clinical records. Accounts that are no longer needed are deactivated rather than deleted, so that the case history and billing record remain intact and attributable. Alert recipients can be removed at any time, which stops future messages.
Access to the portal requires an account issued by the practice. Staff accounts use two-factor authentication. Data is held by the providers listed above under their own security controls, and access within the practice is limited to the people who need it.
The service is intended for veterinary professionals and adult course participants. We do not knowingly collect information from children.
If this policy changes, the date at the top changes with it. Material changes affecting portal users will be notified by email.
